Accounting Manager

Position Summary:

The South Street Headhouse District (SSHD) seeks a highly organized, detail-oriented Accounting Manager for the organization’s day-to-day financial operations. The Accounting Manager will be responsible for maintaining accurate financial records, processing payroll, accounts payable and accounts receivable, reconciling bank accounts, assisting with budget tracking, and supporting financial reporting for the Executive Director and Board of Directors.

The ideal candidate will demonstrate strong accounting skills, a commitment to accuracy, discretion in handling confidential information, and an appreciation for the mission of supporting Philadelphia’s vibrant South Street commercial corridor.

Part-Time (2 days in person at Philadelphia office and virtual hours)

October 1, 2026 

 

Essential Responsibilities:

Financial Recordkeeping

  • Maintain accurate and up-to-date financial records in the QuickBooks Desktop general ledger.
  • Record and categorize all financial transactions.
  • Ensure proper documentation and retention of financial records.
  • Assist in maintaining internal financial controls and procedures.

Accounts Payable 

  • Process vendor invoices and W-9s and issue payments in a timely manner.

Payroll

  • Process biweekly payroll
  • Prepare and submit federal, state, and local payroll tax returns
  • Prepare and submit annual payroll information to employees and appropriate authorities    

Bank & Account Reconciliations

  • Reconcile bank accounts, credit card statements, and other financial accounts monthly.

Accounts Receivable

  • Prepare and distribute invoices for vendors, sponsorships, memberships, grants, assessments, and other revenue sources.
  • Calculate the annual Assessment to be charged based on assessed property valuation and distribute invoices to property owners.  Process affidavits declaring non-commercial use.   Prepare payoff quotes, calculate late fees, issue payment reminders, and file applicable liens.
  • Monitor outstanding receivables and follow up on payments. 

Budget Support & Reporting

  • Assist the Executive Director with budget tracking and monitoring.
  • Prepare financial reports for board meetings and committees.
  • Support annual budgeting and financial planning processes.
  • Generate monthly, quarterly, and year-end financial statements.

Grant, Sponsorship & Event Financial Tracking

  • Monitor grant expenditures and maintain supporting documentation.
  • Track event-related revenues and expenses.
  • Assist with grant reporting requirements and financial documentation.
  • Ensure restricted funds are properly recorded and allocated.

Audit & Compliance Support

  • Assist with annual audits, reviews, and tax preparation.
  • Support Federal and State compliance: e.g., W-2s, 1099s, Dept Commerce surveys, PA Office of Open Records, census reporting
  • Support compliance with nonprofit accounting standards and reporting requirements: e.g., form 990.

Administrative Support

  • Manage insurance coverage (D&O, liability, workers comp): renew policies, pay premiums, manage workers comp audits.
  • Manage and oversee the activities of the Office Assistant.
  • Support special projects and administrative functions as assigned.
  • General email and phone correspondence with internal and external parties

 

Qualifications:

Required

  • Associate’s degree in Accounting, Bookkeeping, Finance, Business Administration, or related field; equivalent experience may be substituted.
  • Minimum of 2-3 years of bookkeeping or accounting experience.
  • Proficiency in QuickBooks Desktop program, QuickBooks Online, or similar accounting software.
  • Experience with payroll processing and proficiency in the related payroll platforms
  • Strong knowledge of bookkeeping principles and financial recordkeeping practices.
  • Experience with Microsoft Excel and Microsoft Office Suite.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple priorities and meet deadlines.

Preferred

  • Experience working with nonprofit organizations.
  • Familiarity with grant accounting and tracking restricted funds.
  • Experience preparing financial reports for boards and external stakeholders.
  • Familiarity with Philadelphia nonprofit and community development organizations.

Physical Requirements:

  • Ability to work at a computer for extended periods.
  • Ability to occasionally attend board meetings, events, and community functions within the district.

Compensation:

  • $45–$55/hour,  based on experience and qualifications.

Applications will be checked on a rolling basis and close on September 13, 2026 at 11:59PM.  SSHD will contact qualified candidates to schedule a 15-minute phone interview. 

Candidates who advance past the initial screening will be invited for an in-person interview at the South Street District office, located at 407 South Street, Philadelphia, PA. 

All in-person interviews will take place on Monday, September 21, 2026 and Tuesday, September 22, 2026. The tentative start date for the position is Thursday, October 1, 2026.
